Why it was needed

The problem

The team was drowning in inbound applicants. Most candidates never got a callback, simply because there were not enough hours in the day.

First-round screening is the same conversation, hundreds of times. It is exactly the part of the job nobody wants and the part that decides who gets seen.

The system

What I built

  1. Voice interviews by phone

    The agent calls each candidate, asks the screening questions a recruiter would, listens and follows up. A real conversation, not a form.

  2. AI-avatar video follow-ups

    Candidates who pass the first round get a video follow-up from an AI avatar, so the second touch does not wait on anyone's calendar.

  3. Analysis, shortlist, summary

    Responses are analysed and scored, the strongest candidates are shortlisted, and every call ends as a structured summary for the human team.

  4. One workflow holding it together

    n8n orchestrates the funnel from application to summary. Vapi runs the calls with an ElevenLabs voice, HeyGen produces the avatar videos, and Claude does the analysis.

How it runs

  1. A candidate applies

    The application enters the workflow. Nobody has to triage an inbox.

  2. The agent calls

    A phone interview with the screening questions a recruiter would ask, and follow-ups based on the answers.

  3. Responses are analysed

    Each interview is analysed and scored against what the role needs.

  4. Avatar video follow-up

    Candidates who pass get a second touch by video, without waiting for a free slot in someone's week.

  5. Shortlist and summary

    Recruiters receive the shortlist, with a structured summary of every conversation behind it.

Where the judgment went

The hard parts

  • A conversation, not a form

    Candidates hang up on a voice that reads a script. The agent listens and follows up on what was said, which is also what makes the answers worth analysing.

  • People make the hiring decisions

    The agent screens, scores and summarises. The decision stays with the recruiters, who get the evidence in a form they can read in a minute.
